• Upload utility bills and other documents
• Use our email features to communicate with tenants

Information We Collect Automatically

When you use our Services, we automatically collect certain information, including:

• Device information (device type, operating system, browser)
• Log information (IP address, access times, pages viewed)
• Usage data (features used, actions taken, broad traffic source, and conversion events)
• Cookies and similar technologies

Analytics and Conversion Measurement

We use Google Analytics 4 to understand public-page traffic and basic product activation, such as pricing clicks, signups, bill upload starts, parse results, bill draft creation, and bill email send results. We configure analytics to avoid sending tenant names, tenant emails, landlord emails, property addresses, bill document contents, raw payment details, contact message bodies, Storage paths, and Stripe session identifiers. Campaign information is limited to public UTM fields and the referring hostname when available.

Third-Party Services We Use

SplitUtility relies on a limited set of third-party services to run the product: Firebase and Google Cloud for authentication, hosting, database, storage, logs, and signed file access; Gmail APIs for landlord-approved tenant email sending; Stripe for subscription billing and customer portal access; Google Analytics for privacy-conscious traffic and product usage measurement; Claude API for utility bill parsing; and SMTP email delivery for support messages.

These providers receive only the information needed for the service they perform. SplitUtility does not sell tenant contact data, bill files, extracted bill details, Gmail records, or billing records.

How We Use Your Information

We use the information we collect to:

• Provide, maintain, and improve our Services
• Process and manage your account and preferences
• Communicate with you about your account and our Services
• Analyze usage patterns and optimize user experience
• Protect against, identify, and prevent fraud and other illegal activity

Information Sharing and Disclosure

• With your tenants

  When you use our email features to send bills, only the information you choose to share is sent to your tenants.

• With service providers

  We work with third-party service providers who need access to information to perform services on our behalf, such as email delivery, hosting services, and customer support.

• For legal reasons

  We may disclose information if we believe in good faith that disclosure is necessary to comply with applicable law, regulation, legal process, or governmental request.

• With your consent

  We may share information with third parties when you explicitly consent to such sharing.

Data Security

We take reasonable measures to help protect information about you from loss, theft, misuse, unauthorized access, disclosure, alteration, and destruction. However, no internet or email transmission is ever fully secure or error-free.

Data Retention

We retain your information for as long as your account is active or as needed to provide you with our Services. We will also retain and use your information as necessary to comply with our legal obligations, resolve disputes, and enforce our agreements.

Utility bill files, extracted bill details, tenant contact information, Gmail connection records, and bill email send records are retained so landlords can review prior calculations and communications. If you ask us to delete your account or specific bill records, we will delete or de-identify information that is no longer needed to provide the Services, protect the Services, comply with legal obligations, resolve disputes, or maintain billing and security records.

Signed Storage URLs are temporary access links. Logs and security events are retained for operational troubleshooting, abuse prevention, and service reliability, and are designed not to include raw bill contents, tenant email bodies, full signed URLs, or raw payment details.

Your Rights and Choices

You have several rights regarding your personal information:

  You can update your account information at any time by logging into your account.

• Data Access and Portability

  You can request a copy of your data in a commonly used format.

• Data Deletion

  You can request that we delete your personal information.

• Marketing Communications
